Know who has what, and why
Keep assets, recipients, costs and reviews connected as people join, change roles and leave.
The challenge
A leaver still has mailbox access while a new starter is waiting for a laptop nobody can confidently locate.
What good looks like
Every asset has a clear recipient, current status and next review, from initial handover to final return.
View how to
Build the asset register
Open the asset register from the Operations tab to see organisational assets and their current recipients. Add physical devices, software licences and mailbox access, keeping the relevant details together. Enter costs so they appear in the cost area.
Maintain assignments and oversight
Update asset details as circumstances change, reassign items when responsibility moves and schedule reviews. Enable recipient acknowledgement where confirmation is needed, and mark an asset as sensitive when it requires additional control.
Involve recipients
People can view assigned items in My Workspace and My Equipment. They can confirm receipt, report issues and complete actions such as confirming continued use. Review reported issues and use their indicated urgency to prioritise follow-up.

An asset list is not the same as control
Asset management becomes difficult when the record describes what the organisation bought, but not what happened next. A laptop was reassigned informally. A software licence remained active after somebody changed roles. Mailbox access was granted for cover and never reconsidered. The spreadsheet still looks complete, yet the truth is scattered across inboxes, memories and cupboards.
That gap creates more than untidy administration. People can be held responsible for equipment they no longer have. New starters wait for devices that appear available but cannot be found. Finance sees book costs without knowing whether the assets are still useful. Sensitive access can remain with the wrong person because nobody realised it should have been reviewed.
The central problem is not counting assets. It is maintaining a reliable connection between each asset, its recipient and the decisions that follow.
Treat every assignment as an ongoing responsibility
A calmer approach starts by treating assignment as the beginning of a small, visible agreement. The organisation records what has been provided, who received it and what it cost. The recipient understands what they are responsible for. Both sides know how to raise an issue and when continued use will be checked.
Reviews matter because people and roles change. Somebody may keep a device while moving teams but no longer need specialist software. Shared mailbox access may be appropriate for a temporary responsibility, then become unnecessary. Regular review makes these changes ordinary housekeeping rather than a rushed investigation during offboarding or an audit.
The record should also distinguish between an asset being assigned and its receipt being confirmed. Otherwise, a handover can be assumed rather than completed. Sensitive assets deserve an explicit marker so their movement and continued use receive closer attention. This is proportionate control, not bureaucracy for its own sake.
Keep the record close to the person
Zizzy brings physical devices, software licences and mailbox access into one organisational asset register. Each item can be connected to its recipient, cost and current details, with reassignment and scheduled reviews recorded in the same place. That gives People and Operations teams a clearer view of movement without reconstructing events from separate files.
The practical difference is shared responsibility. In My Workspace and My Equipment, people can see what is assigned to them, confirm receipt, report an issue and confirm that an asset is still in use. The central record therefore reflects more than an administrator’s assumption. Reported issues can be reviewed with their urgency visible, helping the right problem receive attention sooner.
This creates a useful rhythm across the people journey. Equipment and access are acknowledged when provided, reconsidered as responsibilities change and easier to account for when somebody leaves. Costs remain connected to real items, while sensitive assets can be treated with the care they require. The result is not merely a tidier register. It is fewer ambiguous handovers, clearer accountability and less avoidable risk for everyone involved.
