Keep your company directory useful and private
Help colleagues find one another while keeping sensitive phone numbers and locations out of general view.
The challenge
A colleague needs someone’s contact details, but the directory exposes information that person expected to remain private.

There's a great feature in Zizzy that makes managing your contact directory easy. Just head to People & Directory Management, then click to view everyone in your organization.
From there, select the Edit button to choose which details are visible to everyone. For anyone with more sensitive details, simply click here to hide their phone number and location right away.
You're in control of what information is shown or kept private. You can also choose whether that person appears in the directory by selecting this option.
This gives you an easy way to manage who can be found across the organization, giving you more flexibility and helping you keep your directory just the way you want it.
A useful directory makes deliberate choices
An employee needs to call a colleague they have never met. The directory gives them a number, but it is personal. Another colleague searches for someone they work with and finds nothing, so they ask around and eventually use an old email address.
A company contact directory can look like a simple list, yet every field carries a decision. A work number may be helpful. A personal number may feel intrusive. A location might help colleagues coordinate, or reveal more than someone reasonably expected the whole organisation to know.
When nobody owns those decisions, directories drift. Details are copied across without much thought, former arrangements linger and exceptions are handled inconsistently. People stop trusting what they find. They waste time checking details elsewhere, while employees may discover that information they considered private is visible far more widely than intended.
Findable does not have to mean fully visible
A good directory helps people reach the right colleague with the least information necessary. That means separating two questions that are often bundled together: should this person appear in the directory, and which of their details should everyone be able to see?
Start with the purpose. Most colleagues need enough information to identify someone and make appropriate contact. They rarely need every detail held about that person. Phone numbers and locations deserve particular care because circumstances differ. A detail that is harmless for one employee may be sensitive for another.
Consistency matters, but it should not become rigidity. Set a sensible default, then allow for individual circumstances. Make exceptions deliberate rather than informal, and revisit them when roles or working arrangements change. The aim is not to hide useful information. It is to make visibility proportionate, explainable and respectful.
Put visibility decisions where they can be maintained
The difficulty is rarely making one careful choice. It is keeping those choices clear as people join, move roles, change location or need different privacy arrangements. If directory visibility depends on scattered messages or somebody remembering an exception, it will soon become unreliable.
Zizzy brings those decisions into the employee directory. The people responsible can view everyone in the organisation, choose which details are visible to everyone, and hide an individual’s phone number or location where needed. They can also decide whether that person appears in the directory at all.
That creates a calmer division of responsibility. Employees can use the directory without guessing whether its contents are appropriate. People teams can deal with sensitive cases directly instead of maintaining a separate list of exceptions. Most importantly, visibility becomes a choice that can be reviewed, rather than an accidental consequence of storing information. A useful directory is not the one that shows the most. It is the one people can rely on without compromising somebody else’s privacy.
